At Kairox ("Kairox", "we", "our", or "us"), we are deeply committed to protecting the privacy, confidentiality, and integrity of the personal information entrusted to us by customers, hiring teams, candidates, and website visitors.
This Privacy Policy explains how our AI-powered talent acquisition platform, websites, and associated services (collectively, the "Service") collect, process, store, and safeguard personal and biometric data.
1. Roles: Data Controller & Data Processor
When an employer or hiring organization uses Kairox to screen, interview, or evaluate applicants, the employer acts as the Data Controller, and Kairox acts strictly as a Data Processor operating under the employer’s instructions. For direct website visitors and individual mock interview practice subscribers, Kairox serves as the Data Controller.
2. Information We Collect
- Candidate Application Data: Resumes, work history, educational credentials, certifications, contact details, and role preferences.
- Interview & Assessment Records: Video recordings, audio transcripts, coding submissions, response timestamps, and calibrated evaluation scorecards.
- Identity & Verification Signals: Verification markers used strictly to confirm candidate authenticity (face matching and audio verification) conducted with explicit consent.
- Technical & Usage Data: IP addresses, browser types, session interactions, and device telemetry to ensure interview security.
3. Responsible AI & Scoring Transparency
Kairox designs AI algorithms to evaluate job-relevant skills, experience, and structured interview responses. Our platform does not use protected demographic attributes (including race, gender, religion, age, or disability status) in candidate scoring.
Kairox operates as an assistive evaluation tool. Final recruitment, selection, promotion, and employment decisions are always made by authorized human hiring managers.
4. Data Retention & Candidate Rights
Candidate records are retained only for the duration required by applicable employment regulations or as instructed by the hiring organization. Candidates have the right to request access to their interview scorecards, correct inaccuracies, or request data deletion by contacting their prospective employer or reaching out to our data privacy team at connect@kairox.io.
5. Enterprise Cloud Security
All customer and candidate data is encrypted in transit using TLS 1.3 and encrypted at rest with AES-256 encryption. Our infrastructure is deployed in SOC 2 Type II compliant Microsoft Azure data centers with strict tenant isolation, role-based access control, and continuous threat monitoring.
